MESSAGE FROM THE BOARD

Fellow Homeowners,

There are three matters, to touch on with this edition of the Message From the Board as the year 2015 quickly draws to an end, and the seasonal holidays befall us.

First, as we look back over a very successful year, we must acknowledge the reason for that success, and that reason, very simply, is the great support of each homeowner at the Edgewood Townehouses.  We must also acknowledge the many volunteers who offer their time and talent to assure that our Association functions smoothly including the Board members, the Clubhouse Coordinator, our Welcome Committee Coordinator, our Hospitality Coordinator, the Pool Coordinator and the FYI Editor and the FYI Delivery people.   These are the folks who make our Association successful.  Let’s all offer our compliments to all the volunteers of Edgewood.

Second, is the matter of our Fiscal Year 2016 Monthly Homeowner Dues.  Beginning on January 1, 2016 our monthly homeowner dues will be $308 per month.  The lion’s share of the revenue generated from this increase will be applied to increases in utility costs, product/vendor increases, contractor/labor increases, as well as increases in insurance premiums.

Third, as we move into the New Year, we look forward to an ambitious year of facility projects.  The most important project will be the repair of the foundation of building 10, 20, 30, 40 Brae Burn, which is the only building in our Association that has manifested multiple cracks in its foundation over time.  The planned repairs will completely correct and stabilize the foundation.  The Board reviewed options to fund the project and decided that proceeds from the sale of 87 Westbrook Way best served the interest of the Association.

In preparation of the sale of 87 Westbrook Way, the attached Tool Storage Shed will need to be relocated.  The Board considered several options, and unanimously identified the most reasonable and practical location was the Overflow Parking Lot.  In accordance with the Covenants, Conditions, and Restrictions (CCR) Article V, the Board will propose an architectural change to locate a new Tool Storage Shed in a corner of the Overflow Parking Lot.  A detailed topographical and elevated drawing will be posted for Association members to review for a thirty (30) days period. 

At the expiration of the thirty days posting period, the Board will hold an Open Hearing to gather written and verbal comments regarding the proposal.  After the Hearing, the Board will take action on the matter at their next Board Business Meeting.

Details of the proposed new Tool Storage Shed and its footprint in the Overflow Parking Lot will be posted at the USPS mailboxes within the next few weeks.

BOARD OF DIRECTORS BUSINESS MEETING

Call to Order:  The meeting was called to order on December 8, 2015 at 6:30 p.m. Board members present were: Bruce Trafton, Jolene Baron, Michele Coney, Christine Donahue, Linda Johnson, Michael Maulding, Don Pasquali, Jennifer Smith and JoAnn Wilson. Also present was Frank Gaddini, ETA Director of Operations and Facilities.

Approval of Minutes: The Board approved and accepted the minutes of November 15, 2015.

  3. Planning for the Sale of 87 WW: The Board reviewed a draft timeframe of necessary steps for selling 87 WW. The Board considered possible sites for tool/equipment storage. The Overflow Parking Lot was identified as the most reasonable and practical site. The proposed change will be posted for thirty days and afterwards, an Association hearing will be scheduled in January to collect written and verbal comments from homeowners.
  4. FY 2016 Goals: Board Members will bring suggestions to the next business meeting.

NOVEMBER’S FACILITY REPORT

November at Edgewood was cold, soggy, and damp.  It was a typical wet November, however, temperatures remained very mild in the first half of the month.  In fact, the first few weeks of the month was so warm, yellow jackets were stinging workers on the site.  We abated three very active yellow jacket and wasp hives early in the month. 

The month can also be characterized as a “windfall leaf deposit.”  The majority of deciduous trees had defoliated and our contractor collected and disposed more than a couple of tons of leaves.  As the month progressed temperatures slowly dropped and we experienced four nights of below freezing temperatures.

Our roof contractors were active during November and was called to our community to replace roof vent seals on four of our townhome’s attic vents.  The rain and leaves also congested some of our gutters and downspouts.  We cleared twelve roof and gutters that were overwhelmed by leaves from oak, maple, and alder trees.

Groundwater management also drew a considerable amount of our attention.  The perimeter drains around building 1, 5, 9, and 11 Westbrook Way crushed under the weight of tree roots, and we excavated a sizeable area to expose the drain line.  We also identified a broken perimeter drain line at building 149 through 159 Westbrook Way, but the rainy weather has delayed our attempt to perform repairs.

Over the course of the month, we recorded eighty-one (81) maintenance jobs.  To date, this Fiscal Year, we have completed nearly one-thousand-fifty (1,050) discrete maintenance and facility improvement jobs.

THREE THINGS TO KNOW, LEARN, AND REMEMBER IN DECEMBER:

1.  Volunteer Needed
A volunteer coordinator position is open and available for homeowners with an interest in serving the Association.  The position is known as our Hospitality Coordinator. The Hospitality Coordinator plans, organizes, and presents refreshments at each of the Quarterly Meetings (the fourth Tuesday of January, April, and July, as well and the Annual Business Meeting (the fourth Tuesday of October).  The Hospitality Coordinator also plans, organizes, and presents the Winter Holiday and Christmas Season Celebration at the Clubhouse.

2.  Parking Rules
Edgewood Townehouse Association
1. All vehicles must be parked in designated parking spaces.
2. Residents are responsible for insuring that their guests park in designated spaces.
3. Waiver for Special Circumstances
Homeowners may request waiver of the Parking Policy in the event of exceptional or extraneous circumstances. Waiver Forms are available by contacting the Board, the Director of Facilities and Operations, or online at www.edgewoodhoa.org/. The Board will review each case and render a final decision.

Satellite Dish Guidelines
Edgewood Townehouse Association
1. Authorization to install a satellite dish must be pre-approved by the Director of Facilities and Operation and will only be approved under the following guidelines:

2. Mounting, installation, or penetration of any satellite equipment or fasteners to any portion of the roof(s) or roof soffit(s) as in drilling, nailing, or screwing to fasten equipment to the roof(s), or drilling holes into the building’s horizontal or vertical wood exterior surfaces is prohibited.

3. Mounting, installation, or penetration of equipment or fasteners to any portion of the building(s) siding as in drilling, nailing, or screwing to fasten equipment to the building is prohibited.

4. The use of mastics, glues, or any adhesive compounds to affix a satellite dish is prohibited.

5. Fastening satellite dish system equipment to the building’s railings, posts, beams or balusters with the use of clamps and/or banding material is permissible.

6. Mounting a satellite dish system in any way that prevents, detracts, or interrupts the quality of visual enjoyment of the environs of other Edgewood Townhouse homeowners is prohibited. Homeowners wishing to install a satellite dish system are encouraged to review the location of the dish’s placement with neighboring homeowners.

7. All liability and damage resulting from any installation of a satellite dish will become the financial responsibility of the individual townhouse owner and the installer to restore the damaged and adjoining affected areas to their original condition.
