MESSAGE FROM THE BOARD
To Preserve, Restore, and Maintain

The seasonal holidays are only a few days away, and the end of another successful fiscal year at Edgewood Townhouses is quickly and quietly drawing to an end.  Looking back over the past year, the most striking memory was the extreme weather we experienced.  We experienced record-setting, below freezing cold days of winter, followed by record-setting, above normal sweltering days of summer.  We sustained bursts of monsoon style rain during spring and fall.  Needless to say, all these weather extremes strained our fiscal year resources, but we continue to be stable, and hopefully we will end the year without other unexpected weather events.

As we move forward into Fiscal Year 2015, we look to another year of wide-spread improvements thanks to the majority of homeowners who supported our $11 per month increase of our annual assessment.  Our $11 per month increase in monthly dues will generate $970 extra dollars per month; and the majority of this increase will pay for the increases in our Day-to-Day Operations.  About $500 of our $970 pays for the Day-to-Day Operations increases in our Master Insurance Policy, EWEB increases for electricity, water, sewer, and groundwater management, our Lawn Care Contractor increases, our Leaf Removal Contractor increases, our Roof Maintenance Contractor increases, and increases in waste disposal from Sanipac.  For each individual lot owner this represents about $6 per month to cover these Operations costs.

The remainder of our $970 per month increase, or about $470, will be applied to our Capital Improvement Projects.  The $470 per month increase will be applied to our annual Concrete Safety Improvement Projects, our Overhead Garage Door Replacement Project, our Roof Replacement Project, and an increase in Exterior Painting Projects.  For each individual lot owner this represents about $5 per month to cover these Capital Improvement Project costs.

Our Fiscal Year 2015 Monthly Homeowner Dues, beginning on January 1st will be $297.

As this year ends, on behalf of all the other eight Board members, I wish to extend our greeting for Happy Holidays including: Merry Christmas, Happy Hanukah, Happy Kwanza, Yule, Pancha Ganapati, Bodhi Day, Dies Natalis Solis Invicti, Boxing Day, Yalda, and of course, Happy New Year!

EDGEWOOD TOWNHOUSE BOARD OF DIRECTORS BUSINESS MEETING
Preserve – Restore – Maintain
December 9, 2014

Call to Order: The meeting was called to order at 6:30 p.m.  Board members present were:  Bruce Trafton, Jolene Baron, Jo Ann Wilson, Linda Johnson, Russ Fryburg, Michele Coney and Jennifer Smith.  Suzy Wojcik was excused. Also present was Frank Gaddini, ETA Director of Operations and Facilities.

The board approved and accepted the minutes of the November 11th, 2014 meeting.

  2. Association's sign discussion - Continuing - We are continuing to discuss signs to assist emergency response teams and fire department officials.
  3. Bookkeeper - Continuing discussion regarding the annual bookkeeper contract.

New Business:

  1. Waivers - None
  2. Executive Session 7:04 p.m. It was moved and seconded that we award our ETA Director of Operations and Facilities another one year contract for Fiscal Year 2015.  Executive session ended at 7:10 p.m.
  3. Interim Board Member appointment - Board member Sandee Jones resigned her seat.  It was moved and seconded that Don Pasquali be appointed as an interim Board member.
  4. Board responsibilities - A Board Member's oath was reviewed and discussed at length.  The discussion will continue at the next Board Meeting.
  5. 2014 Reflections - Board members were also asked to submit a short paragraph by December 20, 2014, summarizing, in their opinions, highlights, memorable experiences, and/or events that occurred during the past year regarding ETA affairs.
  6. 2015 goals - Board members need to prepare three goals they would like to pursue during Fiscal Year 2015.  These goals must be prepared before the next Business Meeting.

Announcements

  1. The next Board of Directors Business Meeting is January 13th, 2015 at 6:30 p.m.
  2. The Annual Holiday Party will be December 21st, 2014 at 6:00 p.m. in the Clubhouse.
  3. January 27th at 7:00 p.m. is the next Quarterly Meeting in the Clubhouse.
  4. Starting January 2015 - The monthly dues are increasing to $297.00.

MONTHLY TREASURER REPORT

Monthly Dues have increased to $297 effective January 1, 2015. Your monthly dues are due the 1st of each month. If you utilize an auto pay plan at your bank/CU, and have not previously done so, please advise them of the new amount in sufficient time that they may adjust your payment amount starting in January. November 2014 ended with ALL Homeowners current with their dues. Your new Treasurer thanks you for this.

ANNOUNCEMENT:    Sandee Jones Retires

The Board of Directors would like to commend Sandee Jones for her volunteer service as a member.  Sandee is retiring from the Board to explore new personal life adventures.  Sandee’s commitment of time and energy for the benefit of other association members, and her emphasis on practicality and good common sense will be missed.  On behalf of the Board, and all members of the Association, best of luck with your future goals.

Looking Back Over November 2014

November at Edgewood was cold, soggy, and damp.  It was a typical wet, bone-chilling November, with record setting rains in our area.  In fact, the month recorded 8.4 inches of rain in Eugene.  Our roof contractor was called to our community to replace roof vent seals after microbursts of rain overflowed gutters and splashed rain that backed-up into four of our townhome’s attic vents.  The onslaught of rain also congested our storm drains.  Driveway 3 flooded.  Over six (6’) inches of water backed-up onto the driveway, resulting in our storm sewer contractor bringing in their commercial sewer-jet truck to clear and clean our twelve (12”) inch storm sewer.  The storm sewer was clogged by a thirty (30’) foot bundle of intertwined tree roots that invaded the line.

The month also saw some very windy weather with gusts on November 18th racing up to 48 MPH.  The result of all this can be characterized as a “windfall leaf deposit.”  The majority of deciduous trees had defoliated and our contractor collected and disposed more than a couple of tons of leaves. The chilling temperatures introduced us to the upcoming freezes that will sporadically descend upon us with the long nights of winter.  We experienced four nights of below freezing temperatures during November.

Our contract laborers also continued to clear dense overgrowth along Brae Burn Creek especially at the top of the creek near the Brookside entrance and all along the creek to the Willamette Street discharge.  With the help of our contract laborers, we also installed a roof over the monument at the corner of Brae Burn and Willamette Street to prevent water from intruding into the structure’s interior foundation.  With the roof structure in place, one of our homeowners, who wishes to remain anonymous, donated holiday lights to brighten up the structure and celebrate the holiday season.  

Over the course of the month, we recorded sixty-two (62) maintenance jobs.  To date, this Fiscal Year, we have completed nearly nine-hundred (900) discrete maintenance and facility improvement jobs.
