This month's message from the Board is focused on a few house-keeping items.

Amended CC&R'S/By-Law Update-
I am happy to announce that the final detail to record our amended CC&R'S and By-Law have been completed.  Our attorney has recorded the update as the Sixth Amendment to Covenants. Conditions and Restrictions, and the First Amendment to the By-Laws of the Edgewood Townehouse Association.   The details of the amendment are now on file at Lane County Records Office, Lane County, Eugene, Oregon.

Snow and Ice Storm Damaged Tree Clean-up-
Storm Damage Timeline - Stay calm and be patient is our theme.  It seems like an eternity, but it has only been about three weeks since one of the most memorable weather events temporarily changed our lives for a week. After our assessment of the property, we had approximately thirty trees that sustained damage under the heavy weight of snow and ice. Virtually, no property damage to building occurred, although slight damage occurred to one garage roof and two exterior pole light fixtures whose globes were damaged. Learning from our past experience from the St Patrick's Day of 2012, our forces mobilized quickly and implemented our clean-up response.

Our response was divided into three phases.  First, address all hazardous limbs on damaged trees; second, address all safety risks that remain from fallen limbs; and third, conduct general limb debris clean-up. At the time of this printing, I can report that we are well into the third phase of our response.  The clean-up, however, will be ongoing for the next month.  So please remain calm and patient as we restore our community to normal.

Home Improvements-
If you plan on performing any home improvement projects, please be certain to share your plans with the Board, if those plans affect the exterior of your townhouse.  If you are upgrading your windows, adding a skylight, or installing a new heat pump, please remember that the Association has strict specification that must be followed before your project starts.  Contact any Board member or Frank with your plans before you start.

Clubhouse Closure for Repainting-
We will be repainting portions of the interior walls in the Clubhouse during the second week of March.  The Clubhouse will be closed to all activity beginning on Monday, March 10th through Friday, March 14th.  Although the Clubhouse will be closed, the collection box for HODs will be open.  Please continue to deposit your HODs at the Clubhouse mailbox located at the Front door.

EDGEWOOD TOWNHOUSE ASSOCIATION - QUARTERLY MEETING 
January 28, 2014
Preserve - Restore – Maintain

The meeting was called to order at 7:00 p.m.  Eleven homeowners were present. Board members present were: Suzy Wojcik, Bruce Trafton, Sandee Jones, Toni Horodysky, Jennifer Smith, Jolene Baron, Linda Johnson and JoAnn Wilson. Russ Fryberg was excused.  Also present was Frank Gaddini, Director of Facilities and Operations. 

  • The 2013 maintenance log was available for members to review. President Trafton welcomed the members in attendance and acknowledged the work of volunteers.  He thanked all committee members for their service during the past year.
  • The President updated members on the progress of recording the CC&R's including a recompilation of all prior additions and amendments to the document by a local title company.
  • An updated contact list will be in the FYI soon.
  • An updated list of vendors will be in the FYI soon.
  • The board will be setting their 2014 goals at their next meeting.

Homeowner – Question and Answer: 

Q - What will the buyer/seller pamphlet consist of? 
A- The board is continuing to work on a pamphlet to give buyers, sellers, and real estate agents.

Q- What happened to the old ETA signs?
A- They were taken down for safety reasons and will be replaced.

Q - There were specific questions about line items on the budget.
A - Questions were addressed by the Treasurer, as well as, the Director of Facilities and Operations.

Q - Are the irrigation sprinklers being drained?
A- No, but they are turned off and winterized.

February 18th, 2014 - (Rescheduled from February 11th due to inclement weather.)

Call to Order:  The meeting was called to order at 6:30 p.m. Board members present were:  Bruce Trafton, Toni Horodysky, Russ Fryburg, Jolene Baron, Sandee Jones, Jennifer Smith, Jo Ann Wilson, and Linda Johnson.  Suzi Wojcik was excused.  Also present was Frank Gaddini, ETA Director of Facilities and Operations.

Approval and Acceptance of Minutes of January 14th, 2014. The minutes were approved as published.

Old Business:

  1. Review of case 143 WW - Bruce reported that the homeowner, a national financial institution, has paid a major portion of their arrear dues.  He reviewed a number of correspondences between him and various representatives of the institution across the country.  A claim lien on the property will remain "unsatisfied" until the total outstanding arrear payment is received and retired.
  2. Review Results of Goal Setting Exercise - Goals for 2014 will continue to be discussed over the next few business Meetings.  Bruce suggested to assign the buyer/seller information goal to a committee of non-board members to research and prepare a draft of a brochure-style document for the Board to review.
  3. Bruce reported that we are still working on a contract for bookkeeping services.
  4. Another goal the Board wants to pursue this year is a review of Pool Rules and confirmation of a New Pool Chair over the next few months.
  5. Waivers - No waivers

New Business:

  2. Board approved a retainer fee of $__ to be paid to Ram Jack for repair of the southwest portion of the foundation project at 148 Brae Burn.
  3.  Bruce read an email from homeowners and his response on behalf of the Board.  The homeowner was interested in finishing the walls in their garage. Bruce responded that the homeowner can do the work because it does not impact the exterior of the building.
Announcements: 
Bruce announced that Joan Hale, the former resident of __ Westbrook Way, passed away.
The next board meeting is March 11th, 2014 at 6:30 p.m in the Clubhouse.

One would expect a time of quiet and tranquility in January.  But, at Edgewood Townehouse, January 2014 was not a very quiet month.   Although we concluded our leaf blowing management program earlier this month, we continued to hear the roar of power equipment, trucks, and workers through the end of a very busy month.  Roof and gutter cleaning and sidewalk improvement projects proceed ahead. 

By the 31st of the month, we cleaned roofs, gutters and applied moss deterrent to over two-thirds of our homes.  As planned, we demolished and disposed nearly one-thousand (1,000) square feet of sidewalk. 

We also performed and completed ninety-nine discrete jobs during January 2014.  This is twenty-five percent (25%) more than last year.  Our work also included minor pruning, pressure washing sidewalks, and clean-up along the southwest bank of the Brae Burn Creek. 

Our most significant Capital Improvement Project, for the second consecutive year, was the replacement of the stairwell and concrete walkway along the north side of the Brae Burn Creek and leading up to Driveway 9.  This section of walkway traverses north and south from the creek up the stairwell, providing access and egress for residents of 118 to 198 Brae Burn Drive.  The stairwell sustained damage during the December snow and freeze and was fraught with trip and slip hazards.  The new walkway corrected many of the pitch and grade problems, making for a much safer and comfortable pathway for walkers and residents.  We continue to work on the stairwell handrail, however, weather and safety conditions has made progress on that portion of the project almost impossible at this time.

As we move into February 2014, we will be completing the next and last phase of our annual roof and gutter cleaning project for the homes along Brae Burn and Brookside.  The roof and gutter cleaning project is replete with complexity.  The projects will always result in debris falling into the patio areas. 

We are off to a great start of restoration and repair projects scheduled for this year.  I am looking forward to keeping our momentum energized for the next eleven months.
