MESSAGE FROM THE BOARD
To Preserve, Restore, and Maintain

We finally crossed the Finish Line of the 2013 Fiscal Year (FY) and without even missing a heart-beat, we find ourselves are at the Start Line of FY 2014.

This new year promises to be a year of ambitious repair and restoration to our common property.  Our annual ongoing restoration of sidewalk replacement, siding replacement, and repainting projects are on the agenda.  This year, we plan a major project to correct a foundation on one of the Brae Burn townhouses, as well as a number of smaller groundwater repairs and irrigation updates.

In business matters, the Board took on an ambitious project to update and amend three articles in our CC&R’s, and one of our By-Laws.  The project was successful and we were able to muster the approval of over 75% of our homeowners.  Given our focus and work involved in our CC&R amendment, we were unable to fully address another one of our goals – the matter of developing a Buyer/Seller packet, so the Board plans to focus and complete this project this year.  This will not be, however, the only goal for the Board this year.  We are also conducting our annual goal-setting exercise this February, and will consider additional goals to achieve, out of the many business improvement goals that have been identified by the Board.

Although we are all volunteers serving on the Board, we are also homeowners committed to improving the operation of our Association.  We each have our own ideas and concerns; but we also want to hear your thoughts and ideas to improve our Association at our first Quarterly/Town Hall style meeting, Tuesday, January 28th at the Clubhouse.  The meeting starts at 7 PM.  In the meantime, I want to thank everyone who has contributed with their thoughts, support, concerns, and compliments for making the Association a great place to live.

Call to Order: -.  The meeting was called to order at 6:31 p.m.  Board members present were:  Bruce Trafton, Toni Horodysky, Russ Fryburg, Jolene Baron, Sandee Jones, Suzi Wojcik, Jennifer Smith and Jo Ann Wilson.  Linda Johnson was excused.  Also present was Frank Gaddini, ETA Director of Facilities and Operations.

Approval and Acceptance of Minutes of December 2013

Standing Reports:

  1. Facility Report: Written report submitted and maintenance log for the fiscal year 2013 was reviewed.

We are still awaiting the Cascade Title recompilation of all additions and amendments, as well as the Attorney’s recording.

2.  Update on Recovery of 143 WW HODs – A sample letter was reviewed that has been mailed to various Wells Fargo Home Mortgage.

4.  Annual Goal Setting Discussion and Review of 2013 Achievements - 2013 Goals were reviewed.
5.  2014 Special Goal-Setting Meeting Discussion – Board members were asked to come to the next meeting with a list of 5 new goals. The Board will then come up with five new goals for 2014.

Looking back over the past year’s Maintenance is always important in order to measure the success of our work.  Altogether, we completed and recorded a notable nine-hundred-twenty-eight (928) individual jobs in 2013. In 2013, we completed seventy (70) more jobs than we tracked in 2012.  In 2012, we completed eight-hundred-fifty-eight (858) jobs.  The lion’s share of our work in 2013 was performed on the grounds.  We concentrated on roof maintenance, irrigation maintenance and repairs, and several complex groundwater repairs.  Outdoor lighting that included re-lamping existing light fixtures and new, energy-saving light fixture installation was also an important part of our work.  At the beginning of the year, we secured the monument on the corner of Willamette and Brae Burn and restored all of the masonry.  A lion’s share of our maintenance work was clearing superfluous vegetation and deep pruning throughout the site.  We also updated a number of our electric supply and control systems at the Clubhouse and on our grounds.

In the year 2013, we also saw three long-lasting and substantial achievements in our Capital Projects.  The first was the replacement of approximately 200 linear feet of concrete walkway along the north bank with new handrail that reflects the historical character of Edgewood yet complies with new city code and standards.  The second notable achievement was the correcting of the foundation at the Clubhouse.  The Clubhouse floors, after several years, are now level.  The third notable job was the replacement of approximately 800 linear feet with new wrought iron fencing along Brae Burn Drive.  In addition to these capital projects we completed almost $__ in wall-siding repair, as well as the complete restoration of 5 patio areas.  Eight of our overhead garage doors were replaced with new modern doors.

Our labor practice to accomplish work was also creative and noteworthy in 2013.  We completed four-hundred-twenty (420) jobs with our Contract Labor who we often refer to as the “college workers.” For complex work that required journeyman skill levels, we brought in various professional contractors to complete three-hundred-thirty-five (335) jobs.

Our association is built along both the north and south banks of the Brae Burn Creek.  Twenty-four (24) of our townhomes are situated along the north bank of Brae Burn Creek and referred to as the Brae Burn/Brookside corridor.  Sixty-six (66) of our townhomes are located along the south bank and often referred to as the
Westbrook Way corridor.  In order to apportion our maintenance activity as equally as possible, track, validate, and substantiate our work efforts, the Association has been organized into six zones.  See the map on the next page.  Below is a presentation of the distribution of our work efforts throughout Fiscal Year 2013:

The past year has seen a remarkable amount of planned, quality work improving our common property.  I am excited, and looking forward to the 2014 Fiscal Year, in continuing the planning and organizing the work of restoring and maintaining our facilities and grounds.
