Planning for the Unexpected

If you have not noticed, insurance has certainly been a hot topic in many circles lately.  In the second decade of the twenty-first century, protecting yourself from financial loss or costly, unexpected financial demands has become routine, normal, and commonplace. Insurance can cover the gambit of protections, from medical insurance, auto insurance, property insurance, recreational vehicle, boats, motorcycles and even your pet cat or dog have insurance protection packages.  The list of insurance is seemingly endless, which brings us to this topic…

Have you thought about your homeowners insurance lately…?  Insurance for townhouse owners generally serves to protect personal property losses in your home stemming from fire, theft, burglary, frozen plumbing pipes, damage from windstorms and hail, unforeseen occurrences and much, much more.  Homeowner insurance comes in to cover costs of your personal items like clothes, computers, and big screen televisions. Can you imagine if you lost all your kitchenware, books, and food, because of an unforeseen event…?

Well, this is what homeowner insurance is for, and you should check with your insurance agent to ensure your protection. Below is a typical list of coverage provided by many homeowners’ insurance companies, but please, check with your policy and your agent to understand your specific policy.

Personal Property Protection
Covers the loss or damage to your stuff.  Do you know how much of your belongings – furniture, dishware, artwork, knick-knacks, and of course your clothes – are worth? The figure is often much more than you may initially think. Taking the time to inventory what you own, and to understand how your coverage works, can help you be certain everything you value is adequately covered. Talk with your agent about your coverage.

Family Liability Protection
Provides legal representation and insurance against judgments. In the event that you or anyone in your household is accused of accidentally causing injury or damage to another person’s property, this type of insurance coverage can help by providing legal defense fees and, in the event of a settlement or judgment, can pay damages up to your policy limit.  Check with your agent for details.

Additional Living Expenses
Reimbursement for additional costs of temporary housing during reconstruction, replacement clothing, and toiletries.  It sure is nice to have the resources to pay for comfortable living quarters if you ever have to rebuild your home and your life-style. If a covered loss puts you out of your home, many homeowner policies will cover the reasonable costs needed to maintain your normal standard of living. This may include payments for temporary housing, food, clothing and other day-to-day living expenses.  Your agent can explain your policy.

Replacement Coverage
Many policies feature this coverage that allows you to receive the full purchase price of lost items at the time of the claim.

So this month, take a few minutes and check with your agent on the details of your homeowner insurance plan.  Remind your agent that you reside in a townhouse.  Some insurance companies have specific policies for townhouse owners, and some consider townhouses similar to condo insurance.

EDGEWOOD TOWNEHOUSE BOARD OF DIRECTORS BUSINESS MEETING May 8, 2012

CALL TO ORDER: The meeting was called to order at 6:30 PM on Tuesday, May 8, 2012, by Bruce Trafton.

MINUTES: Minutes of the April 10th, 2012 meeting were approved as published in the FYI.

STANDING REPORTS:
Treasurers Report:
1.  Toni reported that the homeowner who had been several months in arrears with dues has satisfied his outstanding balance, is current, and even paid dues in advance. 

2.  Toni reported that sixteen (16) boxes of archival records that have been stored in the Clubhouse attic for years have been reviewed, and some documents have been recycled, some shredded, and some have been preserved for their historical significance.

State of Facilities Report:
1.  The written details of Frank Gaddini’s report are included in this edition of the FYI.

2.  Toni requested to research the cost of having a street sweeper clean the roadway on Westbrook Way and each of the ten (10) driveways.  Frank noted that this cost is already included in the landscape contactor’s softscape and hardscape maintenance services, and this service will be starting on Friday, May 11th.  Bruce directed Frank to perform the research on the cost of street sweeping Westbrook Way and the ten driveways.

Grounds Report:
1. The written details of Grounds report are included in the upcoming edition of the FYI

Swimming Pool Report:
1.  The Pool will open on Thursday, June 7th weather permitting and remain open for one hundred and two days (102) through Sunday, September 16th.

Welcome Committee Report:
1.  Three new homeowners were presented with Welcome Baskets.  Tracy Norton at __ Westbrook Way; Patrice Korjenek and Rey San Antonio at __ Westbrook Way; and Bill Benson and Sandee Jones of __ Westbrook Way.

OLD BUSINESS
1.  Insurance:  Bruce reviewed our Insurance Committee’s meeting with our Association’s insurance agents.  In general, our master policy covering the Association’s buildings is very comprehensive.  Our Insurance Committee, however, is still reviewing the details of the policy with intentions to present the Board with a clear and accurate description of those items covered, and not covered, under the Association’s master policy.  Given that each homeowner’s personal property (for example: clothes, artwork, televisions, jewelry, etc.) are not covered under the Association’s master policy, each homeowner is encouraged to look into their own personal property protection and liability insurance if they do not already have condo insurance.  The Board plans to continue studying and reviewing insurance information through the next five (5) months before presenting homeowners with accurate and substantiated facts regarding the Association’s master insurance coverage, and recommendations for each homeowner to consider.

2.  Sign:  We reviewed our sign progress.  Frank reported that Susan Klein has identified two font styles for our signs; however, progress on the sign(s) has been slow.  Frank announced that sign development will most likely continue through the end of this fiscal year.

3.  Reserve Fund Cap:  The Board decided that our Reserve Fund is still growing, and that discussions on placing a cap on Reserve Fund accumulation would not be a fruitful or productive discussion at this time.

NEW BUSINESS
1.  Parking Waiver Request(s)
A parking waiver request was approved for 8 Westbrook Way through July 31st was approved to park a vehicle outside overnight in Driveway #3.  A parking waiver for a tow-behind trailer to be parked in Driveway #2 at random times for short durations was approved for 30 Brae Burn though September 15th.

2.  Rental Waiver Request(s)
The former owner(s) of 148 Brea Burn have sold their townhome but will continue to reside in the premises through September until the new owner(s) take possession The Board approved the rental request through the end of September 2012.

3.  Discussion to Consider Authorizing Release Reserve Funds for Re-siding Projects
Frank reported that we have conducted approximately $__ in two (2) re-siding projects this year.  The lion’s share of the repairs were conducted at our five-plex building 100 - 136 Westbrook Way and included approximately 156 sheets of new siding and nearly four hundred (400’) feet of new wood trims and decking.  The building had widespread observable fatigued and damaged siding replaced.  Work on this building has also set a benchmark cost for planning future restoration projects on entire buildings while managing the best use of repair dollars.  Instead of conducting many small, disparate, and disjointed projects, we were able to concentrate on one specific building and site-specifically stage materials and supplies saving the set-up costs associated with setting-up disparate projects.

Frank asked the Board to consider the costs and benefits of performing comprehensive restoration to entire buildings, rather than manage many disparate projects at different sites for future fiscal years.  He also asked the Board to “consider” releasing money from the Reserve Funds to complete three or four small siding repairs jobs this fiscal year, but not necessarily authorize the money immediately, but rather consider the pros and cons over the next few months. 

The Board agreed to consider the matter within the next three months, and will decide to either authorize additional money to be released from the Reserve Fund, or to decide to redistribute money from existing projects to cover these costs.

Announcements
1.  Steve Longtin, the resident of __ Westbrook Way sent a Thank You Note for the Condolences and flowers offered on behalf of the entire Edgewood Townehouse Association on the passing of his wife, Judy Longtin.
2.  Bill Benson and Sandee Jones, the residents of __ Westbrook Way left the Board a Thank You Note for the welcome basket delivered by our hospitality committee.
3.  Exine Bailey, an original owner of __ Westbrook Way, passed away in her 90th year of life. The Association offers condolences to her friends and family.

EDGEWOOD TOWNEHOUSE ASSOCIATION
General Townhall Meeting Notes
Tuesday, April 24, 2012 – Clubhouse

Board members present were Toni Horodysky, Linda Johnson, Susan Klein, Jolene Baron, Bruce Trafton, Doug Cone, Jennifer Smith and Suzy Wojcik.  Russ Fryburg was absent. Also present was ETA director Frank Gaddini.  About twenty-five homeowners were present. 

Items brought up by attendees and board:
Bruce Trafton welcomed all the homeowners and board members.
Five properties were sold the past six weeks.  Bruce named some of the new residents. 

Nametags were suggested for the general meeting and will be offered at the next general meeting. A new list of residents was also requested.  The new resident list will go into the next FYI.  The telephone committee needs two new volunteers.  Please see Barbara Kensler to volunteer.

There were a few questions about line items in the budget.  
Would the association like to open up the cleanup from the storm damage to volunteers?  Yes, volunteers are appreciated.  Would people like to send emails to the book group leader regarding what they have read?  Please email to Gloria Gehrman.  See resident list for email address.

Frank Gaddini stated there are four new items in the budget.  They are contracted employees, safety features and equipment, including the monument, and signage.  Also standing ground water removal needs to be addressed as a line item.  Included is creek maintenance, such as rock placement and picking up of debris, and removing blackberries and poison oak.  The fourth item is overhead garage doors that were approved by the board for replacement. 

Volunteer work by some of the homeowners is welcomed and appreciated. 

Bark-o-mulch has been ordered and will be spread soon.  One homeowner requested that Brae Burn be tended to, by removal of the leaves.  Frank Gaddini explained the division of the corridors and the percentage of work attended to in each of the areas. 

The office has been revamped and there is a new desk and many improvements done by Frank Gaddini.

April 2012 Facilities and Operations Report

April at Edgewood Townehouses was characterized as a month of grounds cleanup.  While we focused most of attention on cleaning up the remaining debris left over from the memorable March snow and wind storms, the lawn was relentless growing.  Each year is unique, and this spring, with warmer and wet weather, everything plant-like was springing-up, azaleas, rhododendrons, trees, the lawns, and of course, the weeds.  We managed most of our Grounds maintenance with our contract laborers and many volunteers this month because our Lawn and Grounds Maintenance does not start until May.  So, thanks to everyone who lent a hand picking-up limbs and cleaning-up the grounds while we waited for our Lawn and Grounds Maintenance to begin in May.

One of our 2012 Capital Improvement Projects during April was the replacement of one-hundred and fifty-six (156) sheets of siding and wood trim on building 100 through 136 Westbrook Way.  During the month, we also performed minor upgrades to the Clubhouse Office.  A good quality, smaller, used wooden desk, purchased from a second-hand store, replaced the heavy steel desk that monopolized much of the floor-space in the office.  We also rearranged the layout of the office making it more ergonomically useful for managing our administrative functions.

The second 2012 Capital Improvement Project we completed this month was two (2) more overhead garage door replacements.  Six (6) of the eight (8) doors approved by the Board are now installed.

Although we recorded and completed fifty-one (51) jobs tasks during the month, grounds cleanup continued to be the lion’s share of our work.  Over 48% of our work was conducted along the Brea Burn and Brookside corridors during the month.  And, although April began looking rather shaggy around the edges, the month of April ended-up looking more like our normal clean and tidy appearance, with the extra boost of colorful blooms and blossoms springing-up from the countless rhododendrons and azaleas.  Next month should be even more colorful, as the saying goes, “April showers bring May flowers.”


May 2012 ETA Grounds Committee Report

The loss of several shrubs and trees as a result of the late winter snowstorm was somewhat balanced by the planting of shrubs to replace those lost at 159 WW and those that had to be removed for patio wall work at 100 WW.

With the arrival of the much-awaited warm weather, the irrigation system has been inspected and is ready for operation.

Future plans for grounds maintenance and weed control include the re-barking of areas along Brae Burn from Willamette to Brookside Dr. and south along Brookside to Westbrook Way.

Marlon and Son, our lawn and bed maintenance contractor, was on site on Friday, May 11.

Treasurer Report, May 2012
Our General Maintenance budget took a big hit this winter due to the March snow and windstorms. Our contracted workers are still working on clean up of our site. The extensive work just completed on the building comprised of units 100 to 136 Westbrook caused us to overspend the siding portion of our Capital Improvement budget.   We will be paying for that work over a three-month period. The Board will need to look at using some Reserve funds to cover this expense.

Swimming Pool
The pool will open on June 7, 2012. In order to swim, though, read the pool rules and submit your signed pool use form.  Please do so immediately.  The new combination to the door will be sent to you when your form is received.  Please do not ask folks to tell it to you over the fence, when you arrive at the pool.

EDGEWOOD TOWNEHOUSE ASSOCIATION POOL RULES 2012

The following rules have been adopted by the Board of Directors in the interest of safety for the residents and their guests; they are also required by the State of Oregon.  Following the rules will insure everyone’s enjoyment.  Failure to follow these rules could result in exclusion from pool privileges. 

1. The pool opens at 9 AM and closes at 9 PM.

2. The pool and deck area are for the exclusive use of Edgewood Townhouse owners and their guests.

3. No lifeguard is on duty.  Each swimmer is responsible and liable for their personal safety. 

5. No person is permitted to swim alone.  Bring a friend!

6. Anyone under the age of 14 must be accompanied by an adult 18 years or older.

7. Dangerous practices are prohibited.  No running or rough play is allowed in the pool or deck area.

8. No person under the influence of alcohol may use the pool.

9. Diving must be made with consideration for the safety and comfort of others using the pool and deck area. No reckless or indiscriminate diving is permitted.

10. While there is no designated time for lap swim, it is expected that swimmers will be accommodating to those who want to swim laps.

11. The rope must remain across the pool when there are young children present who are unable to swim without assistance.  If you remove the rope, please replace it upon leaving. 

12. Swimmers who are not toilet trained must wear swim diapers

13. Inflatable objects may be used in the pool, insofar as they do not interfere with other swimmers ability to easily navigate the pool.

14. No glass or shattering plastic containers are permitted in the pool area.

15. All food items are prohibited in the pool and on the pool deck.  Consuming food items is permitted in the fenced in Eating Area only.

16. No more than 31 people are allowed in the pool at one time.

17. All persons must have a cleansing shower before entering the pool.

18. No person with a communicable disease, open wound, or wearing a bandage is allowed to use the pool.

19. No pets of any kind are allowed in the pool or deck area.

20. Persons with wet attire or with wet bare feet may not use or enter the Clubhouse.

21. Access to the pool, deck, and the dressing rooms is through the Pool Entrance Door only.

22. All residents and guests must sign-in each time they enter the pool area.

23. Only swimming attire is allowed in the pool.  Un-hemmed shorts are not permitted in the pool.  No street shoes are allowed on the pool deck.

24. The pool, deck, and eating area cannot be reserved for exclusive use.

25. Use of deck furniture is on a first come basis.

26. No commercial activity will be allowed in the pool or pool area.

27. Radios and amplified music may be played only if used with earphones.

28. Resident planning to use the pool must acknowledge, with their signature, that they have read and understand the pool rules, and ensure that their guests read the rules before swimming.  The Pool Use Form and Pool Rules are published in the FYI and copies are also available in the Club House.

29. Every resident in the community is authorized and encouraged to enforce the pool rules and to report violators to the Board.
