MESSAGE FROM THE BOARD

Here’s hoping you all are having really a great holiday season!

It is now 2011 and with our new budget in place, we are ready to come out of the chute running. We already have projects lined up for the first of the year.

We have accomplished much in 2010, but still have far to go in the next few years. Some of the Capital projects (asphalt, sidewalk repair, new siding and painting) that are highlighted in the Reserve Study are scheduled for the next three or four years. For the many projects completed this past year we can document some repair or replacement on each unit at the Edgewood Townehouse Association. We are committed to doing the same in 2011 and beyond, until we reach a point when we can do several complete buildings each year. This is the direction in which we are headed.

A “gentle reminder” -- Association dues rise to $255.00/month starting January 1, 2011.

Board of Directors Meeting Minutes
Tuesday, December 14, 2010, Clubhouse

Call to Order at Six-Thirty (6:30) PM: Board members attending were Bruce Trafton, Suzy Wojcik, Doug Cone, Toni Horodysky, Jon Joseph, Linda Johnson, Susan Klein, and Russ Fryburg. Eaton Conant was excused.

Approval of minutes of the November 2010 Board of Directors meeting: Jon Joseph moved that the minutes be approved as circulated. Russ Fryburg seconded. Motion passed.

State of Facilities and Operations Report:
A letter was read by Bruce Trafton that was sent from Frank Gaddini regarding goals for 2011. Gaddini asked that three ideas, priorities, or goals, from each board member for 2011, be submitted for the January meeting. Also, it would be a good idea for the committee heads to submit three ideas for 2011 too.

Budget Report:
The committee has met with the bookkeeper and will know more about the end of the year after their next budget meeting. There was some discussion about spending for the rest of 2010 and into 2011.

Standing Committee Reports

Architectural/Building Committee Reports - Written report submitted.

Clubhouse Committee -- The clubhouse calendar is posted in the clubhouse and available for 2011.

Grounds Committee -- Written report submitted.
Swimming Pool Committee -- Pool closed for the season.
Welcome Committee -- No report.
ETA Website -- Written report submitted.

Old Business:
There were two new requests for parking waivers.
#5 WW requested parking in the guest parking area for up to six months. The board approved the request by consensus.
#148 Brae Burn requested parking in the overflow lot. The board will review the request at the end of the year. The board approved the request by consensus.

New Business:
A letter, that was obviously a case of mistaken identity, regarding a repossession issue, was received by several board members. The board agreed that a letter should be sent to two Oregon senators a representative and the Oregon attorney general voicing a complaint against the company which sent the letter.

New annual contract for ETA director – Suzy Wojcik moved and Russ Fryburg seconded to rehire Frank Gaddini as the ETA director for 2011. Motion passed unanimously.

December 2010 Grounds Committee Report

Leaf removal by Marlon & Son will continue through the first two weeks in January.
The Sperry Co., our pruning contractor, was on site on Nov. 17th, working in the area northwest of the creek. It will be here on Dec. 17th working in an area south of the creek.

The white bags at the entrances of the parking areas off of Brae Burn and Brookside contain sand to help provide traction in icy conditions.

Members of the Committee will be transplanting small plants that are too close to structures or other plants to areas that are bare or along the creek, throughout the winter.

Architectural Committee Report

The Architectural Committee met on 11/16/2010 and on 12/8/2010. The following are the items discussed and/or resolved.
1. The Architectural Committee unanimously voted to bring to the attention of the Board that the HOME OWNER’S GUIDE FOR MAKING CHANGES PROTOCOL should always be followed. There should be no deviations from that protocol.

2. The DUCTLESS HEAT PUMP INSTALLATION PROTOCOL was discussed, suggestions for changes noted and made. The ETA Director will present the final version to the board.

3. We discussed the rectification of some errors in installation of previous ductless heat pumps. Progress seems to be going well there.

4. Our next protocol item to resolve will be a Skylight/Solar Tube Installation Protocol. We will be drawing up a rough draft to discuss at our next meeting

5. We discussed lighting and plantings in certain area along Brae Burn. We were informed that that project would be done in June 2011.

6. Future items to discuss: handrails styles for bridges, Jamaican Unit assessments and window installation protocol

7. We would also like to bring to the attention of the Board that our homeowners need to understand that if they are planning a home project, they need to expect that it could take up to 120 days to process approval. .

Our next meeting is January 4th, 2011.

November 2010 Facilities and Operations Report

November at Edgewood has been a very “quiet” month with the exception, of course, of leaf blowing. All of our Capital Improvement project for this Fiscal Year were drawn to an end in November, routine maintenance slowed down considerably, and the clearing of annual financial books was the month’s only priority.

However, two unexpected maintenance matters arose during the month that required immediate attention making this year’s Thanksgiving weekend memorable: The first was a water break, possibly exacerbated by the below freezing temperatures, struck just before Thanksgiving Day. We temporarily restored this water line for the holiday, however, it completely failed a few days later. The final repair was made after installing nearly twenty (20) feet of new domestic water supply line.

The second unexpected maintenance event this month was the failure of our furnace in the Clubhouse. The Clubhouse furnace blower failed on Thanksgiving Day, leaving the family who reserved the room with “cold turkey” that day! The family made the best out of this circumstance and warmed the room with their good nature, good humor, and the Clubhouse’s fireplace.

On our routine maintenance schedule for November, we focused on the replacement of ten (10) light fixtures of a new design. The new light fixtures replace our existing driveway light fixtures. The existing light fixtures, attached to the garage walls in our driveways, have been discontinued, and are no longer fabricated by the manufacturer. The new fixture was selected by the Architecture Committee after they reviewed several designs and light fixture options. The Architecture Committee selected a design that is reminiscent of the old fixtures, but with more modern flair. The new light fixtures are also “greener”. The new light fixtures use light bulbs that consume sixty-eight (68) percent less electricity and are nearly $10 cheaper per bulb. Over the course of the next few years, we will be replacing all of the older existing fixtures with this new design.

As we move into the month of December, we will be monitoring the closing of our FY 2010 Budget and only addressing maintenance work that is absolutely necessary.
