Greetings to All Our Edgewood Friends and Neighbors!

There will be a Club House decorating Extravaganza on Friday, November 20th at 2:00 PM. Everyone is welcome and encouraged to participate.

The time of board meetings has been changed to 6:30 PM ( from 7:00 PM ). Board meetings continue to be held on the second Tuesday of each month.

At the last board meeting there were some changes in the ETA board . Bruce Trafton was officially elected to become President of ETA, rather than Acting President. Suzy Wojcik was appointed to immediately fill a vacant board position and Linda Johnson was elected to join the board on January 1, 2010. Gwen Acker will be leaving the board when her term ends on December 31, 2009.

The board is in consensus with continuing the reserve study.

It is important to winterize your outside faucet. Disconnect your hose from your faucet. Then cover your faucet with a faucet helmet.

Annual Membership Meeting
October 27, 2009

At 7:30 p.m. the General Meeting was called to order by Bruce Trafton. Bruce rescinded his resignation from the Board tendered in the September FYI. His present term runs until December 31, 2011. He will continue on the Board and as Acting President at this time.

Manager’s Report: Frank Gaddini reported on the projects which have been undertaken in the last two months.

Minutes of the July 28, 2009 General Meeting: Upon motion of Eaton Conant and second by Jon Joseph, the minutes were approved as previously published in the FYI.

Treasurer’s Report: Doug Cone made a verbal report. The Budget Committee has not yet formulated the 2010 Budget. A more realistic 2010 budget can be adopted after current projects are completed and bills paid. Anyone wishing to serve on that committee should contact Doug. The current Profit and Loss Statement (through September 2009) has been printed in the October FYI. Bruce Trafton advised that the 2010 Budget will appear in the December FYI.

Eaton Conant spoke of the reasoning of the Board to ask for only a $5 increase in the monthly assessment for 2010. The Board has reached consensus to raise the assessment by that amount, rather than the 4% allowed by our CC&R’s, and to add this to our reserves. An official vote will be taken at the November Board meeting.

Committee Reports:
Building:
Toni Horodysky reported on the projects which have been completed this year. The paving work will need to wait until next year. It was not undertaken due to the weather.

Grounds: Bruce reported that the leaf clean up crew will work twice weekly for the next three months. All workers are licensed and bonded. This will be the practice in the future for ETA.
Telephone: Helen Liguori reported that there is a need of a replace-met for one of her committee. This entails calling a list of residents prior to each general meeting, i.e. four times a year.

Introduction of New Residents: Toni Horodysky noted that none of our new residents were present. They are Simone D’Aubigne, ( ) WW, Paula Backus, ( ) BB, Sara Mitchell, ( ) BB, and Jeni and Jordan Hinton, ( ) WW.

Election of Officers: There will be three positions vacant on December 31, 2009. One candidate, Eaton Conant, has agreed to serve. Gwen Acker moved and Toni Horodysky seconded the motion that Eaton Conant be elected by acclamation to the A-2 position on the Board for a term beginning January 1, 2010 through December 31, 2012. The motion passed.

Bruce Trafton reiterated that two positions are still to be filled on the 2010 Board of Directors. Other residents need to step forward.

Unfinished Business: There was no unfinished business.

New Business: 87 Westbrook Way will soon be ready for rental. Interior repairs and general cleaning will soon be completed. The rental of the unit will be for $900 per month and will be handled by Frank Gaddini.

Bruce announced that Julie Ann Marquardt has agreed to decorate the clubhouse for Christmas. There will be a decorating party at 2:00 p.m. on November 20, 2009. Anyone interested is invited to attend.

A December potluck will be held on December 6, 2009.

Residents Forum: Nancy Callaghan asked if the general meetings could be moved to 7:00 p.m., the time of the Board meetings. Michael Landes moved that the time be changed to 7:00 p.m., Jon Joseph seconded the motion and the motion carried. In the future general meetings will begin at 7:00 p.m.

EDGEWOOD TOWNEHOUSE ASSOCIATION
Meeting of the Board of Directors
November 10, 2009

The meeting was called to order at 7 p.m. by Acting President Bruce Trafton. Those in attendance were Board Members Bruce Trafton, Susan Klein, Gwen Acker, Jon Joseph, Doug Cone and Toni Horodysky. Russ Fryburg and Eaton Conant were excused. Frank Gaddini was present as were Suzy Wojcik and Linda Johnson.

Director’s Report: Frank Gaddini provided a written report. See copy attached. Frank was asked if the zinc strips, which are sagging and unsightly, would be re-attached when roofs were treated for moss. He stated that he recommended the best course of action would be to remove the strips entirely at some later date, as their usefulness is questionable. The bid for moss treatment does not include zinc strips.

Minutes: The minutes of the October 13, and October 20, 2009 meetings were approved as published in the FYI upon motion of Jon Joseph and second by Toni Horodysky.

Treasurer’s Report: The report was provided in written form (see attached). Doug Cone noted that both residents who are three months or more in arrears have been turned over to our attorney.

Bruce Trafton provided a written report which is attached. He verbally reported that bulbs have been ordered for lights which are out and burned out bulbs will be replaced as soon as new bulbs are received.

Building: Toni Horodysky provided a written report which is attached.

Budget: Doug Cone reported that the committee will meet within the next two weeks, after completion of projects for 2009. The monies expended during 2009 will provide a basis for the 2010 budget.

Ad Hoc Committees: Toni Horodysky reported that Lee Benton-Williams has volunteered to serve on an ad hoc committee to review our present CC&R’s and Bylaws.

Unfinished Business:
Election:
Upon motion of Toni Horodysky and second by Jon Joseph, Bruce Trafton was elected to become President of ETA, rather than Acting President. Linda Johnson was appointed to fill the A-1 Board position to begin January 1, 2010. This position is presently held by Gwen Acker whose term will end on December 31, 2009. Suzy Wojcik was appointed to fill the A-3 position, presently vacant, to begin immediately and to continue for the new term beginning January 1, 2010.

Rental of ( ) WW: Bruce reported that the request to rent has been withdrawn.

Rental of 87 WW: Frank Gaddini reported that repairs are nearly complete and that the unit should be ready for rental on or about November 17, 2009.

2010 Monthly Assessment: Toni Horodysky moved that the monthly assessment be increased to $245 beginning January 1, 2010, she further added to the motion that the additional $5 be added to the reserve fund. Suzy Wojcik seconded the motion and the motion carried. Officially residents will be notified of the increase by these minutes, notice in the November FYI and by separate delivery of notice to the front doors of residents.

Management Planning Calendar for 2010: This will be discussed at a later date.
Certified Audit: Frank Gaddini reported that information and expenses of an audit have not been pursued. Information will be forthcoming at the December board meeting.
Reserve Fund and Strategies to Maximize Value of Our Reserve Fund Earnings: At a later date a credit union representative for investment of funds for non-profits will be invited to a meeting to explain possibilities.

Reserve Study Update: This will be accomplished after completion of 2009 projects.

New Business: Susan Klein requested that Board meetings begin at 6:00 pm. After discussion, a consensus was reached that beginning immediately Board meetings will commence at 6:30 pm.

The patio problems and failing chimney at 50 BB were discussed. The Board was advised that the present owners have accepted their responsibility to deal with the patio and its foundation, caused by trees planted by homeowners. This will include replacement after removal and disposal of trees, cement and foundation.

The Board reached consensus to reaffirm ETA responsibility for repair and/or replacement of exterior surfaces, including chimneys.

The meeting was adjourned at 8:40 p.m.

GROUNDS COMMITTEE REPORT FOR OCTOBER 2009
LEAVES LEAVES LEAVES!

Leaf-fall is now and the Grounds committee has hired a landscape company for a three month period. This is for leaf clean up and removal only.

We put out specks for a number of companies and the one we liked turned in the lowest bid.
Marlon and sons will be cleaning up leaves Mondays and Thursdays. Please park your vehicles somewhere other than guest parking spots.

The irrigation is shut down for the winter. We need to repair one backflow device.
We have limbed all of the trees with the yellow ribbons and removed the dead Birch at the Westbrook Way entrance. There are more tree pruning plans in the future.

Duckworth Nursery has planted the entire area between 118BB and 80BB all the way up and along 110BB.

Our Temp hires, Tom and Cameron, have mowed the lawn one more time and helped in “rocking” the creek in those areas where erosion seems to be occurring.

Clearview Tree Arborists did a nice job along the front of 110BB and around and down towards the creek to 70 BB and across to 110BB. Next month they will work the Westbrook Way side of the creek.

Future:
In the future we will continue this policy of “corner to corner” and one side of the creek to the other. This will apply to all projects that the Grounds Committee undertakes.

So, for the next few months, we will be doing some fall fertilizing, tree abatement projects and a lot of leaf, leaf, leaf clean up.

Building Committee Report, November 2009

During the month, the sound of hammering, sawing, and painting was everywhere throughout our complex.

The gables at 5, 8, 36, 83, 135 WW and 124, 132 BB have been replaced. More gables and walls are on the agenda for this year. One more dry-rotted wooden walkway on Brae Burn is also on the schedule.

The clubhouse has a new ramp leading to the front door, eliminating the awkward and dangerous step just outside the front door.

All the exterior lights are now on photocells, bypassing the timers that had to be adjusted as the hours of daylight changed.

The first phase of gutter and downspout replacement is done; more work is in the offing. On the schedule for upcoming weeks are roof moss removal and gutter cleaning.

Five garage pedestrian doors were replaced with fiberglass doors. Homeowners were given a choice of flat-panel or six-panel doors. For an extra charge, they could chose a door with a small window.

Unit 87 WW is nearly ready to rent.

Reminders:
Cover your outdoor faucets with a “helmet” to protect it from frost. If you have a shut-off valve for the faucet under the kitchen sink, turn it off.

If any plants in your patio are touching siding or roofing, please prune them to leave a gap of at least six, but preferably 12 inches.

If you have a wood-burning fireplace, please have your chimney cleaned.

The month of October 2009 was fraught with changing weather and the opportunity to resurface our driveway and guest parking bays was washed away by the rains, nonetheless, replacing our fatigued exterior wood siding has been a very busy endeavor. Our community will have to wait for better weather and the next fiscal year to conduct our asphalt repairs and overlay projects; however, our gable and wall re-siding projects, on the other hand, have been marching ahead in a methodical fashion throughout our entire community. We have also vigorously pursued exterior deck and handrail replacement throughout the Brae Burn corridor, especially areas that presented potential safety hazards to our owners and their guests.

Continuance with the evaluation and review of these wooden walkway safety hazards has been a priority for me, and I am pleased to announce that the most obvious hazards have been addressed. I am now turning my attention to our concrete walkways, and I am in the process of preparing specification for our concrete walkway rehabilitation project. I have identified fifty-seven discrete sites where our concrete walkways are fragmented, disjointed, and failed presenting us with safety and trip hazards. Please exercise caution when walking…! It is my intention to address, in a prioritized fashion, as many of these sites as possible before the end of our fiscal year, and as our budget supports. When the walkway rehabilitation project ensues, I ask for your patience because widespread areas along the creek will be closed to pedestrian traffic for extended periods of time for demolition, disposal, sub grade amendments, and re-setting of the new concrete walkways occur.

October has also been a busy month for leaf management, outside lighting control, and gutter/downspout upgrades. The Grounds Committee Chair and I have produced a Leaf Management Specification and contracted with a qualified contractor to supervise the removal and disposal of leaves through the end of January 2010. We have also upgraded our outside lighting control system. For years, we were formerly a manual system requiring constant human interaction to adjust our exterior lighting; we have made changes to a fully automatic the system to a dusk-to-dawn system eliminating the need for constant human monitoring. Additionally, I have been reviewing the existing exterior building light fixtures and researching more energy efficient and cost effective fixtures as possible replacements as the existing fixtures fail. Just as some of our walkways and outside light systems have failed, so too have many of our gutters and downspouts. During October, we have replaced nearly thirty sites where gutter and downspout breakdowns where reported. There are approximately thirty additional sites to address before the end of this fiscal year.

As the holiday season approaches and the exterior building maintenance projects subside due to cooler weather and shorter days, I will be shifting my attention, along with the Board, to more administrative projects including budget planning for 2010, budget assessment for our 2009 fiscal year, and a review of our CC&Rs, Rules, By-laws to consider possible updates to these documents.

I continue to have great enthusiasm in my role as manager for the Edgewood Townehouse Association. I sincerely am grateful to everyone who has offered me advice, assisted me in project management, and have been patient with me during all the construction disruptions over the past ninety days. I am looking forward to the New Year, an improved economic environment, and the sustainment and stabilization of all our property values.
