MESSAGE FROM THE BOARD
To Preserve, Restore, and Maintain

Our project to update and amend our Covenants, Conditions, and Restrictions (CC&Rs) is very much like preparing and running a marathon.  Months of preparation are involved with both running a marathon and in updating the CC&Rs.  As an Association, we have been working on this update project since February of this year.  Along the way we discussed, debated, and reviewed our ideas for the updates – the finish line, at times, seemed unreachable.  But, we persisted.  Each step along the way, no matter how difficult, tiring, or uncertain, moved us one step closer to the finish line.  We had business meetings, Quarterly Meetings, and an Annual Meeting to keep us focused on our goal.  We knew it was not going to be a cake-walk – but we knew that crossing the finish line was our main goal.

Amending the legal language of our governing documents, the CC&Rs, to reflect current business practices is important to assure that our practices are in compliance with current law.  Some of these Articles have become obsolete and outdated.  By now, you have seen these proposed articles in the FYI, and have had time to consider the proposed updated language.  Updating these Articles is very important in managing our Association, and your help in amending theses articles is even more important.  We need your vote!

We need everyone in the Association to help us cross the finish line and make this project successful.  Each day, we are getting closer to that finish line.  Like running a marathon, we have come to the last 385 yards and the finish line is in view.  Success and achievement are only a few steps ahead.  Our finish line is the Special Meeting to amend the three CC&Rs and By-Law.  The special meeting is scheduled for Thursday, November 21, 2013 at 6:30 PM in the Clubhouse. Please cast your ballot at the meeting and help the Association update these outdated and obsolete articles.  We need your help!

If you cannot attend the meeting because of illness, accessibility concerns, other obligations that night, you can still help. You can cast your vote by using the “Proxy Ballot.” To use your Proxy Ballot, contact a neighbor in the Association who you know will be attending the meeting. Your neighbor will be your Proxy person: 1) Fill out all of the information on the Proxy Ballot; 2) Vote for one of the two choices; 3) Sign your Proxy Ballot, and 4) Hand it to your Proxy person. Your Proxy person will bring it to the Special Meeting where it will be included with all the other Association members' ballots.  Do not put your Proxy Ballot in the Clubhouse’s Drop Box (the mail slot) at the front door.  If you have ANY questions regarding the updates, need a Proxy Ballot, or need help in casting a Proxy Ballot, please call me.  We need your effort!

Crossing over the finish line requires each of us to contribute a small amount of effort.  We can do this! Together, we can successfully update and amend our CC&Rs and By-Law. Your vote is important. Please help and mark your calendar to attend the Special Meeting on Thursday, November 21, 2013 at 6:30 PM in the Clubhouse.  We need to be successful!

November 12, 2013

Call to Order: - The meeting was called to order at 6:25.  Board members present were:  Bruce Trafton, Toni Horodysky, Russ Fryburg, Jolene Baron, Linda Johnson, Sandee Jones, Suzi Wojcik, Jennifer Smith and Joanne Wilson.  Also present was Frank Gaddini, ETA Director of Facilities and Operations.

Approval and Acceptance of Minutes of October 2013: The Minutes of the October 2013 meeting were approved.

Standing Reports:

  1. Facility Report: Written report submitted
  2. Treasurers Report: Written report submitted
  3. Clubhouse Committee: Written report submitted
  4. Swimming Pool: Closed
  5. Welcome Committee:  No report
  6. Website Committee:  Written report submitted

Old Business: 

  1. CCNR'S - Timetable review for CC&R and By-Law Project
  2. Buyers/Sellers packet - Tabled until next meeting

New Business:

  1. Selection of interim Vice-President - Suzi Wojcik was unanimously approved by the board to serve as interim Vice-President until the January 2014 election.
  2. Review of letter from homeowner - The board will write a response to the homeowner.
  3. Contract for bookkeeper - Our existing bookkeeper doesn't have a job description or contract with the Association.  There is a contract committee that will be meeting over the next 90 days to create documents that will be put before the Board.
  4. The board approved the expenditure of reserve funds totaling $__ for the replacement of the Brae Burn fence.

  3. November 30th at 1:00 p.m. there will a holiday decorating party at the Clubhouse.

EDGEWOOD TOWNEHOUSE ASSOCIATION - QUARTERLY MEETING 
October 22, 2013
Preserve - Restore - Maintain

The quarterly general town hall meeting was held October 22th at the clubhouse.  Board members present included: Russ Fryburg, Suzy Wojcik, Bruce Trafton, Toni Horodysky, Jennifer Smith, Jolene Baron, Linda Johnson and Jo Ann Wilson.  Also present was Frank Gaddini, Director of Operations. 
There was a quorum of more than one third of all homeowners for the Election of new Board Members.

  • Question and clarifications about homeowners insurance
  • CC& R's and By -Laws Update
  • There will be a special meeting when the association has the new CC&R's ready for a vote.   There needs to be 67 properties sign off on the updates.
  • The goal is to have the approved amendments to be registered with the county by January 1, 2014.

The attendees enjoyed refreshments and conversation while two Association Volunteers and Jolene Baron counted the ballots.

Facilities and Operations Report

October 2013 can be best described as the quintessential Indian Summer.  The weather was near perfect with crisp mornings that warmed into clear, cloudless afternoons.  Sunlight abounded and the deciduous trees – Maples, Oaks, and Birch – began their annual procession of fall.  Our maintenance focused primarily on routine tasks.  Mowing lawns, blowing debris off hardscapes, and stowing all of our Pool equipment were the real highlights of the month.  Through the month we completed only seventy-one (71) maintenance jobs – a fairly large number of jobs for the period.

One of the highlights of our work included a number of electrical upgrade to our outside lighting systems.  Several new photocell were replaced, new walkway lights were install along the Brae Burn stairway, and upgrades to the electronic equipment in our pool’s equipment room were completed.  Driveway #7 had seven (7) new light fixtures installed to replace older fixtures.  The new fixtures and their lamps should reduce our electric consumption by nearly seventy-five (75%) percent.  In addition, we also managed our routine grounds and facility maintenance during the month.

As we look forward to the future, remember to winterize your water system and clear out your patio areas.  Soon, with colder overnight temperatures, the risk for freezing pipes increases.  Insulating your exterior water fixtures, or hose-bibs as some call the faucet valve that supplies water to your patio, and, in some townhomes, the front door area.  Cover these water valves with pre-made insulating covers.  Most hardware and home improvement stores sell these covers for a few dollars.  And last, this is a great time to prune, or even remove, those trees inside your patio areas, especially if these trees have overgrown their spaces and are in contact with roofs and walls.
