MESSAGE FROM THE BOARD
To Preserve, Restore, and Maintain

May 2012 was a month that focused on reflecting on the reasons of our business success as a “not-for-profit” organization.  May was a time to identify and recognize the personal efforts of the folks who make our Association notable.  Did you know, our Association and our facilities are considered by some local realtors, as one of the best in the Eugene area.  One reason, not often recognized, for the success of not-for-profit organizations like ours, is the contributions of our homeowners’ expertise, experience, and volunteer service in positions that serve the day-to-day business of operating our Association.  We have a forty-year old tradition of volunteerism at Edgewood Townehouses’ that dates back to the first homeowners on the site.  Remarkably, a few of these volunteers still reside with us and actively continue to serve in other roles; while others who have already served, prefer more permanent retirement.  We also have new homeowners currently stepping into a range of volunteer posts. 

Your current volunteer Board of Directors values this service.  The current volunteer Board wants to “thank” and “recognize” the efforts of the many volunteers whose generous commitment of time and effort are responsible for the success of our Association.  There are presently many volunteer positions in our association.  We have had volunteers working on all kinds of committees over the years.  There are and have been a Welcome Committee; Pool Committee; Website Committee; Grounds Committee; Clubhouse Committee; Budget Committee; Neighborhood Watch Committee; Architecture Committee; the new Literature Review Committee (the volunteers that will be updating our Welcome Packets to ensure that our printed literature is up-to-date). 

We have volunteers that donate their time to prune plants and shrubs, some volunteers decorate the Clubhouse for the holiday seasons, and other volunteers who offer their time organizing the Afternoon Tea Meetings, the Monthly Book Club, and who open and close the Clubhouse each day, as well as any group of volunteers that organized for a specific causes to serve our association and complete a specific task or project.
  
As you can see we have an extraordinary number of our family, of ninety homeowners serving on committees.  In fact, consider this, … about 1/3 of our family’s association membership presently serve on committees that support our Association’s success today, and at least another 1/3 of our family who continue to reside with us, are now retired from service.

First, on behalf of the Board of Directors, to all who are presently serving in volunteer positions, a sincere “thank you” for serving as volunteers in these positions.

Second, on behalf of the Board of Directors, to those who have already served in volunteer positions, a heartfelt “thank you” for having served as volunteers and role models.

And third, on behalf of the general membership of the Edgewood Townhouse Association, … to each Board member serving as the Association’s legal and financial leaders, … a respectful and honest “thank you.”  Your commitment to volunteerism is genuinely appreciated.

And last, to all homeowners who make our community a great place to live, “thank you.”

EDGEWOOD TOWNEHOUSE BOARD OF DIRECTORS BUSINESS MEETING June 12, 2012

Board Members Present:  Russ Fryburg, Jennifer Smith, Bruce Trafton, Suzy Wojcik, Toni Horodysky, Susan Klein, and Jolene Baron.
Excused:  Doug Cone and Linda Johnson.

Call to Order: Bruce Trafton called the meeting to order at 6:30 PM.

Minutes of the May 8, 2012 meeting:  The minutes of the May 2012 meeting were approved.

Treasurers Report: Toni reported on the budget.  No action taken.

State of Facility Report:  Some of the garage doors that had been replaced several months ago have been painted.  The floors in the bathrooms in the clubhouse have been restored. In June the spending will increase since we will have more contracted labor working and better weather. 

Standing Reports

  1. Budget Report: No report
  2. Clubhouse Committee:  No report
  3. Grounds:  Report submitted.  The grounds will be mulched next week.
  4. Swimming Pool: Report submitted.
  5. Welcome Committee: No report submitted.
  6. Website Committee: Report submitted.
  7. Emergency preparedness: No report submitted.

Old Business
Insurance policies:  The master policy for ETA was discussed.  A questionnaire was distributed to the board members and was also discussed.  It was recommended that the board discuss homeowner policies and the ETA master policy with their ETA neighbors.

Signage:  A list of different fonts for the signs was presented to the board.  Consensus of the board was to choose the first one on the list.

Pool lounge chairs – Frank has been painting some of the lounge chairs and will save the association quite a bit of money by this upgrade.

New Business
Waiver requests – 79 Westbrook Way needs to park in the parking area from June 1 – Sept 30th 2012.  Consensus was to approve the request.  A request was presented from 121 Westbrook Way to park a motorhome in the RV parking area May through November 2012 to load and unload for trips.  Consensus was to approve the request.

Rental extension request from 127 Westbrook Way - Permission from the board was requested to rent the condo.  Russ Fryburg moved that we accept the request to rent for another year to the current resident.  Suzy Wojcik seconded.  Motion passed. 

Pool handrail replacement consensus - The railing on the pool rail was removed since it was rotten.  Frank wants to restore with natural wood with a stain.  This should have a ten-year lifespan.  Consensus was to approve the wood with stain. 

Informational sign proposal – At the points of entrance it was suggested to use some signs regarding rules on biking, picking up after pets, etc.  There was much discussion of the possible wording for new signage.  This was put on hold as the board needed to carefully consider what was needed.

8:20 PM:  Russ moved to adjourn, Jolene seconded.

Announcements

There will be a Memorial for Exine Bailey (17 WW) at Beall Concert Hall at 18th and Harris Street on Monday, July 16th at 2:00 P.M. The Association is sending flowers for the occasion.


May 2012 Facilities and Operations Report

During the month of May of 2012, we managed and completed fifty-one maintenance jobs at Edgewood Townehouse.  The most notable work this month was the restoration of the floor surfaces of the Men’s and Women’s restrooms in the Clubhouse.  The floors were resurfaced with an attractive and specialized epoxy that minimizes slip hazards on wet floors.  This makes it safer for homeowners and their guests when they take their cleansing showers before entering the pool.  We also had the carpets in the Clubhouse cleaned and sanitized.

We also saw the beginning of our lawn and grounds maintenance contract.  Our lawn areas will be mowed each Thursday.  Our landscaping features around each building will also be maintained.  Our contractor will focus on detailing two or three building areas per visit until all the areas have been addressed.  In some cases, we will be deeply pruning some of the plant materials to reshape and revitalize the plant.  This work will, of course, take time to achieve, and your patience will be greatly appreciated as our contractors move through the association’s grounds.

Another maintenance job we undertook was the deconstruction, removal, and disposal of the old handrail around the pool.  The handrail had been in service for nearly forty (40) years and was showing signs of wear-and-tear that could jeopardize safety.  A new, and simpler wood handrail will be installed to replace the old one.

The month also saw our continued efforts at picking up branch debris that continues to linger along the creek area from the March Snow Storm.  We also had a tree contractor climb three particular trees to remove the last few branches that were hung-up high above in the tree’s crown.  Final costs for the cleaning-up the March Snow Storm are close to $8,000.

June 2012 ETA Grounds Committee Report

Extensive work was done, and will continue, to remove the unsightly and obtrusive ground cover along Brae Burn.   It will be eventually replaced by more a manageable and attractive planting.

The areas that are usually barked from Westbrook Way to Brae Burn and east on BB to Willamette are being prepared for re-barking to reduce weeds and enhance the appearance of the grounds along those stretches.

Pool Report June 2012
The opening of the pool has been delayed until JUNE 14TH due to the weather.  Remember to follow the rules and advise your guests to do the same. That means those of you that use the clubhouse for a party and let guests swim, need to assure that parents and other guests understand the rules. 

Let’s all participate in making it a great time at the pool this summer.
